Fuel UOM (Unit of Measure)

1. Overview

The Fuel UOM (Unit of Measure) Doctype is part of the VSD Fleet Management System (VSD Fleet MS) module. It is used to configure and manage units of measure for fuel-related transactions within the fleet management system. This Doctype enables the creation of standard units for measuring fuel and allows for the control of whether a unit of measure is active or not.

2. Key Features

  • UOM Name: Defines the name of the Unit of Measure (e.g., Liters, Gallons).
  • Enabled: A checkbox to activate or deactivate the unit of measure.
  • Unique Naming: Each UOM is assigned a unique name to avoid duplication.
  • System Integration: UOMs configured here can be used throughout the Fleet MS module for fuel-related activities.

3. Pre-Requisites

Before using the Fuel UOM Doctype, ensure that the following pre-requisites are met:

  • System Manager role access to create or modify UOM records.
  • Understanding of fuel measurement units and the need for integration across other fleet-related operations.

4. Step-by-Step Usage

  1. Navigate to Fuel UOM
    Go to:
    VSD Fleet MSFuel UOM

  2. Create a New UOM Record

    • Click New to create a new unit of measure.
    • Enter the UOM Name (e.g., "Liters", "Gallons").
    • Check the Enabled box to make the UOM active. Leave it unchecked to disable the UOM.
  3. Save the Record After filling in the required fields, click Save to store the new unit of measure.

  4. Review UOM List
You can view a list of all created UOMs under the Fuel UOM section, where each entry shows whether it is enabled or disabled.

5. Script Customizations

The Fuel UOM Doctype currently has no custom scripts implemented in the default configuration. Developers can add custom logic as needed, such as:

  • Auto-disable UOMs based on specific business conditions.
  • Integrate UOM validation with fuel-related transactions in other Fleet MS modules (e.g., fuel requisition, vehicle refueling).

6. Troubleshooting (Common Errors and Resolutions)

Error Cause Resolution
UOM Name is required The field for UOM Name is empty. Ensure that the UOM Name field is filled in before saving the record.
UOM already exists Attempting to create a duplicate UOM name. Check if the UOM name already exists in the system, as the UOM Name field must be unique.
Unable to disable UOM UOM is still in use in other records. Verify that the UOM is not linked to any active fuel transactions or related records before disabling it.

7. User Roles and Permissions

The Fuel UOM Doctype has the following permissions:

  • System Manager
    • Create, Read, Update, Delete, Export, Print, Share
    • Full access to configure and modify UOM records.

You may customize permissions through the Role Permission Manager if needed, depending on your organizational access control policies.

8. Key Notes

  • Unique UOM: Each unit of measure must have a unique name, which is enforced by the system.
  • Enabled State: The Enabled checkbox determines whether the UOM is active or inactive within the system. If disabled, the UOM will not be available for use in any transactions.
  • Single Record: The system currently allows for a single record per UOM name to avoid conflicts.

9. What Business Process Pain Point Does It Help Remove

The Fuel UOM Doctype streamlines the process of managing fuel measurement units across fleet operations. It eliminates the manual tracking of UOMs for fuel transactions, ensuring consistency and accuracy in fuel-related records. By centralizing UOM configuration, it helps avoid errors and discrepancies when processing fuel data, reducing inefficiencies and errors in fuel management across the system.
